Introduction
This document outlines the Terms & Conditions for participation in and use of services provided by St Kilda Playgroup, Inc. As a not-for-profit, volunteer-run organisation, St Kilda Playgroup exists to create a safe, supportive, and inclusive environment for children and families.
These terms cover key aspects such as membership, payment, responsibilities, and liability, while also outlining our commitment to privacy, and the limitations of our volunteer-based services. We kindly ask that all members read and understand these conditions to ensure the smooth running of the playgroup and to foster a positive experience for all families involved.
1.Membership Terms and eligibility
Membership lasts 12 months from the date purchased. Membership purchased from 13 March 2026 is recurring and payment will be taken automatically unless cancelled by the account holder. Membership can be cancelled any time but is non refundable. Membership purchased before this date will expire after 12 months. It is the account holders responsibility to renew their membership and pay the fee.
You must be the parent or carer of a child or children between the ages of 0-5 to attend St Kilda Playgroup.
2. Acceptance of Terms
By becoming a member of St Kilda Playgroup Inc. (“SKPG”) and attending playgroup sessions, you agree to comply with and be bound by these Terms and Conditions, including our playgroup policies, procedures, and guidelines. If you do not agree with any part of these terms, you should not become a member or participate in any SKPG activities.
3. Volunteer-Run Service and Response Times
St Kilda Playgroup, Inc. is a community-driven initiative managed entirely by a dedicated committee of volunteers. As a not-for-profit organisation, our goal is to provide an inclusive and supportive environment for children and their families. However, please note that due to the voluntary nature of our operations, there may be instances where certain services are subject to delays, or where there are minor imperfections in the service delivery.
We strive to respond to inquiries, process membership requests, and handle issues as promptly as possible, but we kindly ask for your patience and understanding if responses or actions take longer than expected. We appreciate your support in maintaining a positive and respectful environment for all members.

4. Copyright
All content, including but not limited to text, images, logos, policies, guidelines, and documents available on St Kilda Playgroup's website and in our communications, is the property of SKPG. Unauthorized use, reproduction, or distribution of these materials is strictly prohibited without prior written consent from SKPG. Any breach of this provision may result in termination of your membership.
5. Sale of Service
SKPG provides a non-facilitated playgroup service that includes access to playgroup sessions, materials, and facilities for children and their caregivers. Membership grants you access to our sessions for the duration of the membership year, but does not guarantee availability of all sessions or specific time slots. Access to services may vary based on session eligibility, age, and availability as outlined in our policies.
6. Payment
Membership fees are due annually and any plan purchased from 13 March 2026 will AUTO RENEW. Membership can be cancelled at any time. Fees are non-refundable unless otherwise specified in the "Refunding of Family Membership" section below. SKPG reserves the right to adjust membership fees at any time; however, any fee changes will only apply to new memberships or renewals. Payments can be made online through our website, using the options provided.

7. Changes to Services
SKPG reserves the right to modify or discontinue any of its services, playgroup sessions, or policies at any time without prior notice. Members will be notified of significant changes through email, social media, or the SKPG website. Continued use of SKPG services following such changes constitutes your acceptance of the modifications.
We reserve the right to remove any play session on our timetable if..

The session no longer has a group contact.

The numbers for that session are consistently low.

The group is rowdy, messy, or violates our best practice policy.

The group has more than 2 hours a week of sessions, and new groups want to use that space, we will limit the session time to 2 hours.
8. Site Policies, Modification, and Severability
By accessing the SKPG website or participating in SKPG activities, you agree to comply with all applicable site policies, which are subject to change without notice. We reserve the right to make changes to our website, policies, and these Terms and Conditions at any time. If any provision of these Terms and Conditions is deemed invalid, void, or for any reason unenforceable, that provision shall be considered severable and will not affect the validity or enforceability of any remaining provisions.
9. Membership Refunds
Refunds of membership fees are not permitted. If a session you attend is cancelled we cannot refund your membership fee.
If you are a member and you find there are no sessions you can attend, you can create your own session by following the instructions on our website.
Refunds may be offered on compassionate grounds, in cases of mistaken payment, significant hardship or other exceptional situations, at the discretion of the committee.
All refund requests will be assessed on a case-by-case basis, and the decision of the SKPG Committee is final.
10. Parties and Events
You must tidy up after yourself and help to tidy up and clean at the end of the event, like you would when attending any playgroup.
By entering a St Kilda Playgroup Event, you are entering an area where photography, audio and video recording may occur. Your entry and presence on the event premises constitutes your consent for you and your child to be photographed, filmed, and/or otherwise recorded and to the release, publication, exhibition, or reproduction of any and all recorded media of your appearance, voice, and name for any purpose whatsoever in perpetuity in connection with St Kilda Playgroup and its initiatives, including, by way of example only, use on websites, in social media, news and advertising. If you do not with your or your child's image to be used, please speak to the photographer or a committee member at the event.
You must supervise your child at all times and keep your child safe. It is your responsibility to assess if any activity, food, or gift, is suitable and age appropriate for your child before allowing your child to participate or gain access to anything at this party.

Weekend Bookings -
Terms & Conditions
1. Purpose and Scope
1.1 These Terms and Conditions govern the hire of the St Kilda Playgroup (SKPG) premises for weekend children’s birthday parties.
1.2 SKPG is a not-for-profit, volunteer-run organisation committed to providing a safe, inclusive and respectful environment for children and families.
1.3 By submitting a booking form and making payment, the hirer agrees to be bound by these Terms and Conditions and all associated SKPG policies.
2. Eligibility for Hire
2.1 Weekend hire is available exclusively to current SKPG members.
2.2 The hirer must be 18 years or older and must remain onsite for the entire duration of the event.
2.3 The premises may only be used for private children’s parties.
3. Bookings and Confirmation
3.1 A completed Weekend Hire Booking Form (available electronically via the SKPG website) must be submitted by the member responsible for the booking.
3.2 Bookings are not confirmed until payment is received in full.
3.3 Hire fee of $150 is required when making the booking
3.4 Bookings may be made up to 12 months in advance.
4. Areas Included in Hire
4.1 Weekend hire includes access to:

Indoor playroom

Kitchen and double fridge
-
Bathroom facilities
-
Cleaning supplies
4.2 Outdoor areas are not included in the hire and must not be used.
4.3 All outdoor areas are council-owned and are not part of SKPG’s exclusive lease. All activities must take place inside the playgroup centre.
5. Hire Duration and Access
5.1 Only one booking per day is permitted.
5.2 Standard hire includes:

3 hours of event time

1 hour before and after for setup and pack down
5.3 The venue must be vacated promptly at the agreed departure time.
5.4 An access code for the door will be emailed to the hirer prior to the weekend hire.
6. Cancellations and Refunds
6.1 Cancellations made more than 7 days prior to the booking date may be eligible for a refund.
6.2 Cancellations within 7 days of the booking are non-refundable.
6.3 SKPG reserves the right to cancel a booking in unforeseen circumstances (including safety or maintenance issues). In such cases, a full refund will be issued.
7. Suspension of Weekend Hire Privileges
7.1 Compliance with all damage, loss and cleaning requirements is required to retain weekend hire privileges.
7.2 Failure to comply with these requirements will result in the responsible member being suspended from weekend bookings for 12 months.
7.3 Serious or repeated breaches may also impact overall SKPG membership.
8. Insurance and Liability
8.1 SKPG holds Public Liability, Products Liability and Management Liability insurance.
8.2 This insurance does not:

Replace the hirer’s supervision responsibilities

Cover loss or damage to personal property
8.3 The hirer is financially responsible for any damage to the premises, toys, equipment or facilities.
9. Use of Third-Party Providers
9.1 SKPG’s insurance does not extend to external entertainers, contractors or service providers engaged by the hirer.
9.2 Any third-party provider must hold their own current Public Liability insurance and provide evidence to SKPG prior to the event.
10. Responsibilities of the Hirer
10.1 The hirer agrees to:

Supervise all children at all times
-
Ensure safe and respectful behaviour from all guests

Keep all doors closed at all times

Use only approved areas
-
Prevent access to storage, office or staff-only areas

Report damage, breakage or safety concerns immediately
11. Loss, Damage and Indemnity
11.1 SKPG accepts no responsibility for loss, theft or damage to personal property.
11.2 The hirer indemnifies SKPG against all claims, loss or damage arising from the hire, including (but not limited to) damage to the building, toys, equipment, furniture or facilities, or any injury or loss suffered as a result of the hires use of premises.
11.3 No part of the building, fittings or furniture may be altered, marked or damaged.
11.4 External areas must not be used or altered.
11.5 Damage assessments made by the SKPG Executive Committee and the City of Port Phillip are final.
12. Cleaning Requirements
12.1 The venue must be left clean and ready for the next family.
12.2 The cleaning checklist must be completed.
12.3 Photographs of the cleaned areas must be sent to the Weekend Coordinator.
12.4 Failure to comply may result in:

A cleaning fee

A 12‑month suspension from weekend hire
13. Decorations and Environmental Measures
13.1 SKPG operates under an Environmental Measures Clause within its lease.
13.2 The following conditions apply:

Balloons and single-use plastics are not permitted
-
Biodegradable and reusable decorations are encouraged

Decorations must not be fixed to walls, doors or furniture

Windows may be used with non-marking materials only
-
Confetti, glitter and loose scatter decorations are not permitted

All decorations must be completely removed
13.3 Additional cleaning or repair costs may be charged if required.
14. Safety, Behaviour and Conduct
14.1 SKPG is a smoke-free, vape-free and alcohol-free venue.
14.2 No pets are permitted, except registered assistance animals.
14.3 Emergency exits must remain clear at all times.
14.4 Noise levels must be kept to a minimum out of respect for neighbouring residences.
14.5 All guests must behave safely, respectfully and in a manner appropriate for a children’s environment
14.6 Obscene language, disorderly behaviour or property damage is not permitted.
14.7 Hirers should be mindful of SKPG’s behavioural expectations and community values, including taking responsible for repairing or covering costs of any damage caused by attendees
14.8 Parents and carers must ensure all children in their care ae adequately supervised at all times
15. Privacy and Photography
15.1 The hirer is responsible for obtaining consent for photography or video recordings.
15.2 SKPG holds no responsibility for images taken during private hire.
16. Capacity Limits
16.1 The maximum number of persons permitted during a weekend hire session is 40.
17. Nut-Free Environment
17.1 SKPG is a strict nut-free venue due to documented allergies.
17.2 No food containing nuts or nut products may be brought into the venue or kitchen.
18. Vacating the Premises
18.1 All packing down and cleaning must be completed within the booked time.
18.2 The premises must be fully vacated by the agreed end time.
19. Disputes
19.1 In the event of a dispute regarding the interpretation or application of these Terms and Conditions, the decision of the SKPG Executive Committee shall be final and binding.
20. Amendments
20.1 These Terms and Conditions may be amended by the Executive Committee from time to time. Members will be notified of material changes.
By booking the St Kilda Playgroup premises, the hirer acknowledges acceptance of these Terms and Conditions in full, and has read through our St Kilda Playgroup Policies and Procedures
